It helps CEOs, managers, agencies, organization leaders, and operational teams coordinate collaborators through protected portals, structured message threads, protected file delivery, email notifications, visible communication states, preset identities, and manual sync without turning the workspace into noisy live chat.

Admin path: open the Noesia Smart Waiter admin shell and select Agents from the module navigation.
Tier: Agents belongs to the Pro executive and business operations layer.
Portal activation path: create an agent card, set the portal password, copy the protected shortcode, publish it on a WordPress page, and share it with the collaborator.
Add the collaborator name, role, email, phone, notes, status, and preset identity. The card becomes the private operational record for that relationship.
Before sharing the shortcode, configure the portal password so the public page remains controlled and the collaborator can access only the intended portal.
Review upload size, allowed file types, retention mode, admin notification email, and whether admin or agent email notifications should be active.
Place the copied shortcode on a WordPress page and share it only with the intended collaborator or operational contact.
The administrator creates an agent card and defines the role, identity preset, contact details, notes, and portal access.
The administrator copies the shortcode and places it on the page used for that specific protected collaborator portal.
The collaborator unlocks the portal, sends a message, and attaches a permitted file when the update requires supporting material.
The admin replies from the conversation panel and uses Sync Agents or Sync Latest Updates to refresh the operational view.
The admin marks communication as Active, Resolved, or Archived so the control center remains clean and readable.
This is the main control surface with agent cards, totals, status counters, search, filters, Sync Agents, Last synced, Add Agent, and 2-column or 4-column card layout controls.
Each card presents the identity style, role, email, phone, state information, latest activity, message counts, and quick actions such as Open, Edit, Archive, or Delete when available.
The centered detail panel contains the secure reply box, message history, state controls, protocol shortcuts, portal details, message counters, and latest activity context.
This settings area controls upload size, retention, admin notifications, agent notifications, admin notification email, and advanced allowed file types.
The shortcode page lets the collaborator unlock the portal, send messages, attach allowed files, refresh the conversation, and read admin replies.
Mark Active, Mark Resolved, and Mark Archived keep the workflow visible and prevent important collaborator updates from disappearing inside normal inbox noise.
A CEO or manager creates a protected portal for a contractor, partner, or external contact. The collaborator sends updates and files through the portal, while the admin replies and keeps the thread attached to that agent card.
The agent uploads permitted files from the portal. The admin receives a notice that activity exists, but the actual file stays inside the protected workflow and is downloaded through the module path.
Active messages stay visible until the leadership team handles them. Once complete, the admin can mark the communication Resolved or Archived to keep the control center readable.
Instead of mixing collaborator updates, files, and decisions across email, chat, and scattered notes, Agents gives each relationship its own controlled surface.
Issue: the portal page loads but the collaborator cannot access the message form.
Why it happens: the wrong shortcode may be used, the portal password may not be configured, or the collaborator may be entering the wrong password.
What to do: confirm the agent card, copy the shortcode again, set or reset the portal password, and test the page in a clean browser session.
Issue: the collaborator tries to attach a file but the upload does not complete.
Why it happens: the file may exceed the configured size limit, the server upload limit may be lower, or the extension may not be in the allowed file type list.
What to do: check the max upload size, the WordPress server limits, and the Advanced file permissions setting.
Issue: messages save correctly but no notification email is received.
Why it happens: notifications may be disabled, the admin notification email may be missing, the agent card may not have an email, or the hosting mail system may not send WordPress mail reliably.
What to do: confirm notification settings first and then test WordPress email delivery or SMTP configuration.
Issue: the admin expects instant live chat behavior.
Why it happens: Agents is designed around manual sync instead of heavy auto polling.
What to do: use Sync Agents in the overview or Sync Latest Updates inside the conversation panel.
